This Privacy Policy explains how Formulate ("Formulate," "we," "our," or "us") collects, uses, and protects information when you use the Formulate mobile application (the "App"). Formulate is a clinical calculator and digital formulary intended for use by Registered Dietitians and other qualified healthcare professionals. By using the App, you agree to the practices described below.

1. Information We Collect

Information You Provide

  • Account information (only if you sign in for hospital system customization): your name, work email address, and hospital or healthcare organization affiliation.
  • Formulary selections: the list of formulas you choose to include in your digital formulary and any custom notes you save.
  • Correspondence: information you send us when contacting support or submitting feedback.

Information Collected Automatically

  • Anonymous usage analytics: aggregated, non-identifying information about how features are used (for example, which calculators are opened), used to improve reliability and prioritize development.
  • Crash reports: technical diagnostic information (device model, operating system version, anonymized crash traces) that helps us identify and fix stability issues.

Information We Do Not Collect

  • Patient information. Formulate is a calculator; it does not require, and we do not want, personally identifiable patient data. Any values you enter for a calculation (weight, volume, caloric goals, etc.) are processed on your device and are not transmitted to us or associated with any patient identifier.
  • We do not sell your data. Ever.
  • We do not use your data for advertising.
  • We do not track you across other apps or websites.

2. How We Use Information

  • To operate and maintain the App and its core clinical features.
  • To sync your saved formulary and preferences (only if you use an account).
  • To diagnose crashes and improve stability and performance.
  • To understand feature usage in aggregate so we can improve the App.
  • To respond to your support requests and feedback.
  • To comply with legal obligations.

3. Legal Bases (EEA/UK Users)

If you are located in the European Economic Area or the United Kingdom, we process personal data on the basis of (a) your consent, (b) our legitimate interests in operating and improving the App, and (c) compliance with our legal obligations.

4. How Information Is Shared

We share limited information only with service providers that help us run the App — for example, cloud hosting and analytics/crash-reporting providers — under contracts that require them to protect your information and use it only to provide services to us. We may disclose information when required by law, to enforce our terms, or to protect the safety and rights of users. If Formulate is involved in a merger, acquisition, or asset transfer, information may be transferred as part of that transaction.

5. Data Retention

We retain account information for as long as your account is active. Anonymous analytics and crash data are retained in aggregated form for as long as reasonably necessary to improve the App. You may request deletion of your account and associated data at any time by contacting us at carshear@gmail.com.

6. Data Security

We use administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, and destruction. Data transmitted between the App and our services is encrypted in transit using industry-standard TLS. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Rights and Choices

  • Access, correction, and deletion. You may request access to, correction of, or deletion of your personal information by emailing carshear@gmail.com.
  • Analytics opt-out. You can disable anonymous analytics and crash reporting in your device's iOS Privacy settings (Settings → Privacy & Security → Analytics & Improvements).
  • Do Not Track. We do not track users across third-party apps or websites, so we do not respond to Do Not Track signals.

8. Children's Privacy

Formulate is intended for use by healthcare professionals and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. International Users

Formulate is operated from the United States. If you use the App from outside the U.S., you understand that your information may be transferred to, stored, and processed in the U.S., where privacy laws may differ from those in your jurisdiction.

10. Not Medical Advice

Formulate is a calculation and reference tool for qualified professionals. It does not provide medical advice, diagnosis, or treatment, and it does not replace clinical judgment. Always verify calculations independently before acting on them.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective date" at the top of this page and, where appropriate, provide additional notice within the App.
